Rank and rent lead tracker
Download the 16-column sheet I use to track every lead, closed job and commission payment, and work out what a closed job pays you and when.
Quick answer
A rank and rent lead tracker is one spreadsheet row per lead, from the moment it arrives until you are paid for it. It records who the homeowner is, which page or call it came from, when you sent it to the contractor, the job's status, the contract value, your commission and each payment's due and paid dates. Download the free 16-column version below, with the commission and overdue formulas already in it.
I’m Adi Attias. I’ve built three rank and rent sites: two pay and one never ranked. On the two that pay, every lead goes into this sheet the day it arrives, and the row stays open until the last commission payment is in. The tool above gives you that layout as a free download and works out the commission and due dates for any closed job.
On this page
Sixteen: eight that follow the lead and eight that follow the money. The download above has all of them in this order.
| # | Column | What goes in it |
|---|---|---|
| 1 | Date received | When the form submission or call arrived |
| 2 | Homeowner | Name from the form. This is how you ask the contractor about it later |
| 3 | Service | What they asked for, for example a retaining wall or a tub-to-shower conversion |
| 4 | City | Where the job is |
| 5 | Source (page or call) | The page they submitted from, or “call”. Tells you which pages earn |
| 6 | Real lead? | Yes, spam or out of area: the 60-second check before you forward it |
| 7 | Sent to contractor | The date you forwarded it |
| 8 | Status | New, Contacted, Quoted, Won or Lost. Update it when the contractor reports |
| 9 | Contract value | The signed job total the contractor reported |
| 10 | Commission (10%) | Contract value × 0.10. A formula in the download |
| 11 | Half 1 due | 7 days after the homeowner’s deposit, in my agreement |
| 12 | Half 1 paid | The date the first half arrived |
| 13 | Half 2 due | 7 days after the homeowner’s final payment |
| 14 | Half 2 paid | The date the second half arrived |
| 15 | Overdue? | Shows OVERDUE when a due date has passed without a paid date. A formula in the download |
| 16 | Notes | What the contractor said, reminders sent, anything odd |
The due dates come from the commission clause in my rank and rent agreement template: 10% of the contract value, half within 7 days of the deposit and half within 7 days of the final payment. If your deal is different, change the days in the tool.
Thirty seconds per lead on the day it arrives, then one check-in a week and one look at the Overdue column a month.
Add the row, do the real-lead check, forward it to the contractor and fill in column 7. Spam and out-of-area leads stay in the sheet marked as such, so your lead count stays honest.
Send one message listing the homeowners still at Contacted or Quoted: “Any update on Sarah M. (retaining wall) and the Hendersons (patio)?” A contractor can’t forget a lead you can name, which is why column 2 exists.
The commission calculates itself. Put the deposit date into the tool above, copy the row and paste it in, then send the first invoice the day the contractor confirms the deposit.
Anything flagged gets a polite payment reminder. A late payment is often just a contractor who forgot, and a dated row makes the reminder easy to send.
Give the site a call tracking number that forwards to the contractor, then log each call as a row with “call” as the source. A form is easy to track because every submission lands in your inbox with a date and a name. A phone call goes straight to the contractor, so without a tracking number you only know about it if they tell you.
The lead columns stay the same, but the money columns change with how the contractor pays you. See the rank and rent pricing guide for how to choose a deal.
| Deal type | What you invoice | Columns that matter most |
|---|---|---|
| Commission on closed jobs (10%) | Each half, after the deposit and after the final payment | Status, contract value, both due and paid dates |
| Price per lead | The number of real leads in the month | Real lead?, sent to contractor |
| Flat monthly rent | The same fee every month | Lead count per month, so you can show what the site delivers when the deal renews |
Keep the original form email or call record, and log it before you forward it. The row in your sheet, the dated forward to the contractor and the homeowner’s name are the paper trail. Two things make it stronger:
Start with the spreadsheet. Add call tracking when the site shows a phone number, and paid software only when you run several sites.
| Option | Cost | Best for |
|---|---|---|
| Spreadsheet (this tracker) | Free | One to a few sites, form leads, one contractor each |
| Call tracking service | Monthly subscription | Sites that get phone calls you need to count |
| All-in-one rank and rent software | Monthly subscription | Portfolios where research, building and lead tracking all live in one place |
Whatever you use, the job is the same: one record per lead, a status, and a dated payment for every closed job.
The same lead and payment layout, plus the messages that go with it. The Rank and Rent Starter Kit includes the Money Tracker (module 06) with both payment halves, due dates and overdue flags, the commission agreement, the invoice wording and the payment reminder messages. If you run more than one site, the Scale to 10 Sites System adds a portfolio tracker with monthly results, costs, renewals and a next step for every site. To find the contractor who will take the leads, see rank and rent without cold calling.
A spreadsheet or tool that records every lead your rank and rent site produces, from the day it arrives until you are paid for it: the homeowner, the source, the status, the contract value, your commission and the payment dates.
Yes. The download is a free CSV file with 16 columns and the commission and overdue formulas already filled in. It opens in Google Sheets, Excel and Numbers. No sign-up.
You ask, in writing, by homeowner name. Your agreement should require the contractor to report signed jobs within a set number of days, and the tracker lists every open lead so you know who to ask about.
Only if the site shows a phone number. A form sends every lead to your inbox, so it is already recorded. Calls go straight to the contractor, so a tracking number is the only way to count them yourself.
For one site and one contractor, a spreadsheet is faster and free. A CRM or rank and rent software makes more sense when you run several sites with different contractors.
Mark it Lost and move on, because many leads do not close. The tracker is for catching the ones that did. A contractor who reports zero wins for months while still asking for leads is a sign to find a new one.
Log every lead the same way and count real leads per month. You invoice the same fee each month, but the lead count is what shows the contractor what the site delivers when the deal renews.
Yes. The Money Tracker is module 06 of the Starter Kit, with the invoice wording and the payment reminder messages.
